How Altitude takes meeting notes

ZDR Meeting Buddy

No recording kept. No transcript kept. Just a written summary.

We use ZDR Meeting Buddy so we can give you our full attention on the call. No recording is kept. No transcript is kept. The only thing we keep is the written summary, with a title and the meeting time.

What zero data retention means

Zero data retention, or ZDR, is a term from AI services: the service uses your information to do the job, then keeps none of it. ZDR Meeting Buddy applies that to everything except the summary itself.

No recording or transcript is saved

ZDR Meeting Buddy never writes the audio or the transcript to a file or a database; the app holds them only in memory, from the moment we press Start until the summary is saved, shortly after the call. If processing fails, the audio stays in memory only until we retry or discard it, and never past the app being closed.

Zero retention demanded of the AI services

Every request to the transcription and summary services carries a zero-data-retention requirement, and our account is set to route only to endpoints whose providers commit to keeping nothing.

Only the summary remains

Once the summary is written, it is the only record of the meeting, along with its title and time.

What's retained at each step

Zero, zero, zero. Then the summary.

Zero data retention · until the summary

Recording

0data retained

Held in the computer's memory while we talk and while the summary is written. Never saved as a file.

Transcription

0data retained

Sent in short pieces to the transcription service, which returns text. Nothing is saved by us; the service is required to keep nothing.

Summarisation

0data retained

AI writes the summary from the text. The service is required to keep nothing; the summary comes back to us.

Summary

1thing retained

The written summary, with a title and the meeting time. That's all we keep.

Questions you may have

Straight answers

Is the call recorded?

Yes, while it's on. ZDR Meeting Buddy listens to the call and holds the audio in the computer's memory. It is never saved as a file. It is sent in pieces to the transcription service and discarded as soon as the summary is written.

Will you tell us when it's on?

Yes. We say so in the meeting invite and again at the start of the call. If you'd rather we didn't use it, we won't. If you change your mind part-way through, we stop it straight away. The audio already captured is still turned into a summary, under the same zero-retention terms, and we delete that summary as soon as it appears, so nothing from the call is kept.

Who processes it?

Requests go through OpenRouter to Deepgram, which turns speech into text, and to Anthropic's Claude, which writes the summary (served through cloud endpoints that OpenRouter lists as zero-retention). All are US-based companies. Zero data retention is required on every request.

What's in the summary, and who can see it?

A written record of what was discussed: the people, firms, figures and decisions, in our own words, with quotes kept to a few words. It is held in the app on the staff member's own single-user desktop until our notes from it are filed in our client records, then deleted from the app. It is treated as confidential client information throughout.
